Job Summary
The Assistant Property Manager supports the Property Manager and/or the Regional Property Manager in daily property operations, ensuring compliance with company policies, laws, and housing programs, including Equal Employment Opportunity, Fair Housing, and Human Rights statutes. They assist in managing and developing property staff and contribute to enhancing property value and achieving financial and operational goals.

Duties & Responsibilities
Personal

Financial
- Demonstrate an understanding of financial goals and assist in operating the property to achieve these goals.
- Maintain accurate records of all community transactions and submit them in a timely manner (e.g., rent rolls, delinquency reports, move-ins/move-outs).
- Support the preparation of annual budgets and income projections accurately and promptly, with guidance from the Property Manager, Senior Property Manager, and/or Regional Property Manager.
- Ensure that all rents, late fees, and check charges are collected, posted, and deposited promptly, in line with company policies and procedures.
- Assist in generating necessary legal actions, documents, and processes in accordance with state and company guidelines.
- Maintain constant communication with vendors and contractors regarding scheduling, billing, vendor relations, and certificates of insurance.
- Ensure that A/P invoices are submitted for payment and approval to meet payment deadlines.
Operational
- Assist in preparing and following procedures to ensure an efficient workflow within company guidelines.
- Assist in confirming that all leases and paperwork are completed, entered into property software, and attached accurately and promptly.
- Assist in maintaining current resident files and ensuring all administrative paperwork is accurate and complete.
- Assist in achieving maximum occupancy while balancing goals and market rent objectives.
- Assist in utilizing approved marketing strategies to attract prospective residents.
- Assist in monitoring and analyzing traffic logs, budget guidelines, renewal information, and marketing data to provide up-to-date information.
- Assist in addressing resident concerns and requests promptly to ensure satisfaction.
- Assist in supporting resident retention programs (e.g., events, promotions, newsletters).
- Assist in distributing company or community notices (e.g., weather, emergencies).
- Assist in planning and managing weekly/daily maintenance staff schedules and assignments.
- Assist in maintaining community appearance, conducting regular inspections, and ensuring timely completion of repairs.
- Assist in ensuring market-ready apartments are inspected and any service needs are communicated to maintenance before tenant move-in.
- Assist in recording and communicating all service requests to maintenance and ensuring timely, satisfactory completion.
Other
- Learn and ensure compliance with all company, local, state and federal safety rules.
- Learn and ensure compliance with the company lease and the state-specific Landlord Tenant Act.
- Perform other duties as necessary and as directed by the Property Manager, Senior Property Manager, and/or Regional Property Manager.
Compensation
Competitive base pay plus quarterly bonuses based on the performance of the property.
