Role: Senior Transaction Coordinator

We are seeking an experienced, detail-obsessed Transaction Coordinator to manage our contract-to-close process with speed, accuracy, and professionalism. This role is critical to ensuring seamless execution of every transaction, maintaining high-level communication with all parties, and protecting the integrity of our deals from start to finish.

The ideal candidate is someone who thrives in a fast-paced, deadline-driven environment, has exceptional organizational skills, and brings a proactive, solution-oriented mindset to every deal.

Key Responsibilities
  • End-to-End Transaction Management: Own the transaction process from executed contract to successful close, ensuring all critical timelines are met.
  • Stakeholder Communication: Act as the primary liaison between buyers, sellers, title companies, and internal teams. Maintain clear and timely communication across all parties.
  • Document Review & Compliance: Ensure all contracts, amendments, disclosures, and supporting documents are accurate, complete, and compliant with company standards and applicable laws.
  • Problem Resolution: Quickly identify and resolve potential issues before they jeopardize a closing. Think three steps ahead.
  • Title & Funding Coordination: Work closely with title companies to verify all conditions are met for a smooth closing. Confirm wire instructions, disbursements, and final settlement statements.
  • Timeline Management: Monitor all deal milestones and proactively manage deadlines for inspections, contingencies, and closing dates.
  • Process Optimization: Identify inefficiencies and suggest improvements to streamline operations and increase scalability.
What We’re Looking For
  • Minimum 3+ years of experience in transaction coordination, real estate closing, or escrow operations (investment or high-volume experience is a strong plus).
  • Mastery of contract documents, title processes, and escrow procedures .
  • Strong tech proficiency with CRM systems, Google Suite, and transaction management tools (e.g., Dotloop, DocuSign).
  • Exceptional attention to detail and organizational skills — nothing gets past you.
  • Clear, professional communication skills , both written and verbal.
  • Ability to prioritize and juggle multiple active files under pressure without sacrificing accuracy.
  • A high sense of urgency and a drive to get the job done — you’re the person who “just makes it happen.”
  • Must be available for in-person work ; this is not a remote position.
