Real Estate Legal Assistant

Key Responsibilities:

Scheduling & Calendar Management

  • Coordinate client appointments for attorneys and paralegals.
  • Maintain attorney calendars, arrange conference calls, virtual meetings, and in-person meetings.
  • Arrange occasional business travel.

Documentation & Review

  • Review attorney bills, finalize for client submission, and follow up on payments.
  • Prepare, track, and send documents, including certified mail and courier deliveries.
  • Draft retainer agreements for attorney or paralegal finalization.
  • Open, screen, and route incoming mail; maintain document filing in Filesite.

Communication & Clerical Support

  • Screen calls, visitors, and client inquiries.
  • Maintain, open, and close legal files with detailed matter information.
  • Prepare monthly attorney expense reports using Chrome River.
  • Manage real estate files in SoftPro, order lien/title searches, and send welcome letters.
  • Communicate with buyers, sellers, title companies, realtors, and vendors, providing exceptional customer service.
  • Prepare closing binders for complex commercial real estate transactions.
  • Conduct property research using online public records databases.

Qualifications:

  • Minimum of 2 years experience as a Legal Assistant in a law firm or corporate legal department, with a focus on real estate.
  • Strong interpersonal skills for direct client interaction.
  • Excellent grammar, spelling, and clerical skills.
  • Highly organized, self-motivated, and able to prioritize in a fast-paced environment.
  • Working knowledge of real estate, legal terminology, and Microsoft Office Suite preferred.
