Description of Job

This position exists to work directly for the Colorado Parks and Wildlife Assistant Director of Terrestrial Wildlife Branch and the Habitat Conservation Team to provide technical and executive level support and to manage the operations of an administrative office that serves the public, commissioners, constituents, and employees. This is a critical position, providing logistical and administrative support to the Assistant Director of Terrestrial Wildlife Branch and the Habitat Conservation Team. This position takes a lead in delegating follow-up to members of Terrestrial Wildlife Branch and the Habitat Conservation Team when it is more appropriate to respond than the Assistant Director of Terrestrial Wildlife Branch and the Habitat Conservation Team Supervisor.

Executive Support for AD of the Terrestrial Wildlife Branch :

  • Tracking correspondence, approvals, and record keeping for Terrestrial Branch processes.

  • Meeting preparation and logistical planning for assignments, routine agency meetings, and document prep.

  • Travel scheduling, reservations.

  • Helps prepare and/or reviews a variety of management and technical reports and records necessary to document branch activities and accomplishments.

  • Tracking agency memberships, Memorandums of Understanding, and inter-agency agreements.

Branch and Habitat Conservation Program Administrative Support:

  • Provide administrative support for the Terrestrial Branch AD and Habitat Conservation Team, to include CORE entry, contractual support, tracking for funds and other logistical needs.

  • Manages branch data systems and makes recommendations to improve process and operational functionality.

  • Budget tracking and management for the Terrestrial Branch AD and Habitat Conservation Team.

  • Serves as liaison to agency staff and external public for information needs and administrative support for Terrestrial programs including correspondence with the public.

  • Independently oversees logistical planning and business details for Terrestrial staff program meetings and serves as the executive coordinator and support for conferences.

  • Envisions, develops and implements improved workflows to facilitate more accurate and consistent reporting on weekly, monthly, and annual time scales.

  • Assists with logistics of developing communications, formatting, obtaining signatures, maintaining awareness of deadlines, and submitting to appropriate recipients.

  • Maintains awareness of and adheres to CPW branding standards, ensures ADA compliance, and leads initiatives for bilingual communications.

  • Ensures accuracy and compliance regarding budget, procurement and accounting paperwork and information (contracts, invoices, purchase orders, financial transactions, etc.) associated with Unit programs; independently reconciles errors and resolves problems associated with paperwork.

  • Assists the Terrestrial Branch AD and Habitat Conservation Team Supervisor with administrative needs associated with hiring and onboarding employees.

  • Complete purchase orders for equipment purchases, following all state procurement requirements and protocol.

  • Maintains office equipment and supplies.

Terrestrial Branch AD and Habitat Conservation Team Budget and Accounting :

  • This position provides administrative and technical support to the Terrestrial Branch AD and Habitat Conservation Team Supervisor through budget analysis, planning, scheduling, spending, and reporting; preparation and submission of purchase orders, payments, and other documents through CORE. Assists the Terrestrial Branch AD and Habitat Conservation Team Supervisor with managing the approved Branch Cost Center general operating budget by activity code. Independently plans and manages budgets assigned to specific administrative Activity codes (equipment, vehicles, supplies, etc.) within the cost center budget. This position works closely with the other Program Assistant positions in the branch to support all staff and operations.

  • Designs and maintains spreadsheet or database tools to assist professional staff with budget tracking.

  • Coordinates with Terrestrial budget liaison to seek guidance and obtain answers to questions about budget tracking and grants procedures.

  • Develops projections of expense versus budget on all Activity Codes to ensure responsible budget management.

  • Advises staff on policies and proper procedures for procurement and spending.

  • Prepares payments in CORE and for OneCard allocations according to the vendor information, invoice amount, appropriate project budget coding information and enters the payments into CORE for approval.

  • Supports Terrestrial Branch AD and Habitat Conservation Team with OneCard expense reporting, travel and per diem reimbursements, and other duties as needed.

Administrative Support for the Terrestrial Branch :

  • The Terrestrial Wildlife Branch has variable work objectives and work units; including a Game Management Team, Species Conservation Team, Habitat Conservation Team, Mammals Research Team, Avian Research Team and Wildlife Health Team. On a regular basis, work projects and events require members of each unit to assist in other areas of the branch to achieve objectives. Specifically, Program Assistants may be required to assist with other administrative and support functions for time-sensitive and special projects. The duties may include assistance with Branch training and meetings, record and report needs, branch communications, branch program website updates, and other duties as assigned. This effort is to provide redundancy and information sharing to ensure smooth operation throughout the branch. Additionally, this position will support branch-wide meetings.

Experience Only:

Five (5) years of general clerical or administrative service experience, wildlife, natural resources management.

Or

Education and Experience:

A combination of related education and/or relevant experience in wildlife, natural resources management or related biological sciences, administrative service experience, wildlife, natural resources management degree equal to five (5) years.
