Office Manager Position/Executive Assistant

A fast-paced technology company working at the forefront of automation and analytics is seeking an organized, proactive, and resourceful Office Manager / Executive Assistant to help keep its Houston offices running smoothly. Position Summary

This dual-role is critical to ensuring a productive workplace by managing daily office operations, coordinating facilities and vendors, and supporting leadership through both executive and general administrative tasks. This role is ideal for a highly organized individual who thrives in a fast-paced, cross-functional environment.

Key Responsibilities

Office Operations

  • Oversee daily office functionality, ensuring a clean, organized, and well-stocked workspace
  • Coordinate team lunches, in-office catering, and internal team events
  • Manage inventory and ordering for office and breakroom supplies
  • Support new hire onboarding, including relocations and office orientation
  • Serve as primary liaison with building management and service providers

Administrative & Executive Support

  • Provide direct administrative support to executives and team members, including travel coordination
  • Coordinate training registrations, medical evaluations, and drug testing for applicable employees
  • Maintain shared calendars, manage incoming requests and ensure timely follow-ups
  • Handle confidential information with discretion and professionalism

Vendor & Facilities Management

  • Oversee third-party vendors and service providers (e.g. janitorial, maintenance)
  • Address facility needs and repairs, escalating to building management when necessary

Qualifications

Required:

  • 4+ years of experience in office management, administrative coordination, or executive assistance
  • Excellent organizational and time-management skills
  • Strong communication skills, both written and verbal
  • Proficiency in Microsoft Office and general office systems
  • Ability to manage multiple priorities and maintain confidentiality

Preferred:

  • Experience supporting senior executives or leadership teams
  • Familiarity with HR processes, procurement, and vendor management
  • Background in a fast-paced environment
