Job Description

We are seeking a detail-oriented and technically proficient Virtual Webinar Specialist to join our high-performing events team, which manages over 500 events annually, including major client conferences. The ideal candidate will play a key role in the planning, execution, and follow-up of virtual webinars and online events, ensuring a seamless experience for attendees, speakers, and stakeholders.

Key Responsibilities:

  • Coordinate pre-event logistics, including scheduling, registration setup, calendar invitations, and audience targeting.
  • Manage attendee communications and provide ongoing support throughout the registration and attendance process.
  • Provide technical support before and during live virtual events, ensuring platform functionality and issue resolution.
  • Collaborate with moderators and speakers to facilitate rehearsals, provide technical walkthroughs, and ensure presentation readiness.
  • Oversee live event execution, including platform operation, chat moderation, and Q&A facilitation.
  • Lead post-event activities such as reporting, metrics analysis, feedback collection, and process documentation for continuous improvement.

Technical Skills & Requirements:

  • Proficiency with virtual event platforms (e.g., Zoom Webinar, Microsoft Teams Live Events, Webex, ON24, GoToWebinar).
  • Familiarity with CRM and marketing automation tools (e.g., Salesforce, HubSpot, Marketo) for attendee tracking and communication.
  • Experience with webinar registration and reporting tools (e.g., Cvent, Eventbrite, Splash).
  • Strong troubleshooting and live support skills with AV equipment, screen sharing, and streaming tools.
  • Excellent communication, organization, and multitasking skills.
  • Basic knowledge of data reporting and analytics tools (e.g., Excel, Google Sheets, Tableau) is a plus.
