Job Description

JOB SUMMARY: The Santa Barbara Public Library Foundation supports the long-term health and sustainability of the Santa Barbara Public Library through public-private partnerships. We are seeking a dedicated and detail-oriented Foundation Assistant to join our small but mighty team as we embark on the next chapter for the Santa Barbara Public Library Foundation. 

 

In this dynamic role, you will play a crucial part in supporting our development efforts to grow Library support and ensure the sustainability of the Library Foundation. The ideal candidate will possess excellent organizational skills, strong communication abilities, and a passion for contributing to the success of our organization and the Santa Barbara Public Library.

Under the guidance and supervision of the Foundation's Executive Director

The Development Assistant will provide support to all fundraising operations and programs with the primary focus on (1) gift processing, donor acknowledgment, database queries and reports (2) donor prospecting/stewardship (3) fundraising program administrative support (4) special events (5) communications

 

ESSENTIAL FUNCTIONS:

Fundraising and Database Support

  1. Prepare and enter all cash, pledges, and in-kind gift donations received; download and enter online donations from outside vendors, including ACH donations, employee giving match programs, crowdfunding platforms, social media channels, and the credit card processing vendor.
  2. Generate and print acknowledgment letters/receipts for the Foundation Director’s review and signature within 48-72 hours of receiving a donation.
  3. Scan, fold, seal, and mail gift acknowledgment letters/receipts after signed.
  4. Add/update constituent records in a timely manner as needed, analyze donor information, and populate all appropriate data fields according to Foundation standards.

Donor Relations

  1. Produce a monthly list of donors, top donors, pledges, follow ups, and tribute gifts for the Foundation Director to review.

Administrative Support

  1. Provide administrative and organizational support for Foundation fundraising programs such as; grants, major gifts, and direct mail.

Event Coordination

  1. Provide operational assistance for special events, including registering and maintaining guest lists and requests for information as well as other duties as assigned for program events.

Communications

  1. Assist with communications through newsletter, blog post, and other marketing materials as needed.

● Strong organizational skills.

● Strong verbal, written and presentation skills.

● Strong PC skills: Proficient in Microsoft applications and internet research.

● Excellent communication and listening skills

● Desired experience with Excel, Mail-Merge, Wordpress, Mailchimp, and CRM experience is a plus.

● Ability to work both independently and as a member of a team.

● Project management skills.

● Ability to interact with donors, volunteers and the general public in a positive manner.

● Strong commitment to the SBPLF mission, goals and policies.

 

COMMUNICATION RESPONSIBILITIES

● Attend events and advocate our mission on behalf of the organization to potential and current donors and volunteers.

● Friendly and mature interactions and communications.

● Accurate information and follow through/follow up in a timely manner.

● Attention to detail in rhetoric when writing something on behalf of the organization.

 

EDUCATION and/or EXPERIENCE:

● Bachelor's degree or equivalent experience

● Demonstrated knowledge of and experience in non-profit fundraising activities

and direct mail projects are a plus, but not required.

 

ADDITIONAL QUALIFICATIONS:

● Ability to work in a busy environment, under pressure without compromising accuracy, attention to detail and courtesy to volunteers, donors and staff

● Ability to provide feedback to staff in a constructive manner resulting in motivation for change

● Ability to respond appropriately to changing situations

● Self-motivated

● Willing to work flexible hours, including Saturdays and evenings when necessary

● Ability to read and analyze information

● Ability to research and gather information

● Ability to organize large amounts of data/information into reports/presentations that all levels of staff can understand

● Valid driver's license

● Access to a reliable vehicle

● Ability to drive for work-related purposes

 

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to stand,

walk, and talk or hear. The employee frequently is required to use hands and fingers to

handle, or feel and reach. The employee is occasionally required to sit. The employee

must occasionally lift and/or move up to 25 pounds at event programming.

 

COMPENSATION:

Part-time 25-30 hours a week

$28-$30/hr
